Irrigation Coordinator

Job Location: Santa Paula

Essential Functions and Responsibilities:

  • Prepares project estimates promptly and accurately
  • Places stock orders for irrigation jobs
  • Researches issues with POs
  • Creates presentation packets for Irrigation Sales Rep to share with customers
  • Logs stock shortages on a back order sheet and checks daily
  • Checks ETA’s on direct orders daily
  • Opens irrigation jobs promptly and accurately
  • Bills out irrigation jobs promptly and accurately
  • Works with accounting to settle and close projects
  • Creates and maintains vendor files, job estimate files, sold job files, pricing information, and other paperwork/files as needed
  • Completes Irrigation Weekly Review spreadsheet and emails out every Wednesday
  • Sends materials out for bid with vendors
  • Assigns selling price to merchandise being quoted
  • Receives orders by email, phone, or in person from customers and places orders with the most advantageous supplies
  • Receives routine calls from vendor sales reps, and maintains a wide acquaintance with vendors’ products, prices, availability, and market conditions
  • Maintains a wide knowledge of sources of supply for irrigation products used throughout the industry
  • Researches new products, vendors, and competition to stay relevant and maintain understanding of the marketplace / customer needs and expectations
  • Conducts weekly cycle counts on pipe, tubing, valves and filters using irrigation cycle count form
  • Monitors irrigation stock inventory levels and communicates with Irrigation Buyer to ensure satisfactory inventory levels are maintained
  • Coordinates pulling and staging materials for irrigation projects• Coordinates fulfillment on any material shortages in a timely manner
  • Bills out irrigation items after they have been staged and labeled
  • Bills out pipe and tubing as labor contractors or customers pick up
  • Schedules and coordinates delivery of materials to job sites
  • Follows up on material returned from projects to ensure inventory management and accounting accuracy
  • Receives and restocks all credits to jobs within 24 hours of being returned
  • Handles problems related to damaged merchandise or incorrect merchandise

Additional Duties:

  • Maintains constant communication with customers, Ops Center Manager, Irrigation Sales Rep, Irrigation Designer, and Irrigation Buyer
  • Greets customers and offers assistance as needed, answers walk in customer questions
  • Provides excellent customer service, and develops service tracking mechanisms• Follows up with customers regarding their orders, deliveries, questions, etc. on a consistent and regular basis
  • Provides technical assistance to customers, both in person and over the phone
  • Maintains a neat, organized and safe work place at all times
  • Maintains catalogs, brochures, and all other advertising/marketing/sales information in an orderly fashion
  • Ability to be self-motivated, initiator and be part of a team who wants to succeed
  • Participates in weekly Irrigation meeting and weekly Irrigation conference call

Education and Experience:

  • Strong familiarity with Santa Paula territory and Ventura County
  • Strong understanding of irrigation pipelines, filters, pumps, emission devices, and other irrigation equipment
  • 3-5 years irrigation experience
  • A college degree in an agricultural related field preferred
  • Must be fast paced, high energy, a self-starter, with a positive attitude
  • Must work well under pressure and thrive in a sales driven environment
  • Excellent communication skills, both written and verbal
  • Strong computer skills, including Excel, Word, and Outlook – SAP a plus
  • Valid unrestricted California driver’s license
  • Willing and able to lift up to 60 lbs. and handle bulky items
  • Continuing educational classes in irrigation will be encouraged
